Privacy Policy
This policy explains exactly what happens to your documents when you use PDF Tool, and what this website does with a message you send us.
Last updated:
1. Summary
PDF Tool is an iPhone app. There is no account: the app never asks for your name, email address or phone number.
Your documents are stored on your iPhone, inside the app. Most tools work entirely on your iPhone. Two kinds of tools send a document to a server to do their work — conversion between PDF and Office formats, and AI PDF — and this policy says exactly what is sent, to whom, and for how long.
2. What stays on your iPhone
These tools process your document on your iPhone and do not send it anywhere:
- Scanning with the camera, image to PDF and text recognition (OCR)
- Merging, extracting, rearranging and compressing pages
- Signing, adding a watermark, and locking or unlocking a PDF with a password
- Viewing files, folders and favourites in the app's library
3. Converting between PDF and Office formats
When you convert a PDF to Word, Excel, PowerPoint or another format — or convert Word or Excel to PDF — the app uploads the whole file over an encrypted HTTPS connection to PDF Tool's conversion servers (api-pdf.unitvn.com and api-apps.unitvn.com). The converted file is sent back to the app.
The servers keep the uploaded and converted files for no longer than 24 hours, then delete them automatically. The request carries no account, name or device identifier.
4. AI PDF
When you start a chat about a document, the app uploads the whole PDF to ChatPDF, a third-party service, so it can answer your questions. Your questions and the last few messages of the chat are sent with each request.
How long ChatPDF keeps documents is governed by ChatPDF's own privacy policy, not by PDF Tool: https://chat-pdf.notion.site/ChatPDF-Privacy-Policy-45fa3cf8bac8483896eb09b108f0c0f2
Do not use AI PDF for documents you are not comfortable sharing with a third party. You can delete a chat in the app at any time. AI answers are generated automatically and may be wrong.
5. Translating recognised text
When you choose a language to translate recognised text into, the app downloads a generic language model from Google. No document content and no recognised text is sent: translation itself runs on your iPhone. The download may use mobile data if Wi-Fi is not available.
6. Wi-Fi transfer
Wi-Fi transfer lets you send files from a computer's browser to the app. While that screen is open, the app runs a small upload page on your local network; it stops when you leave the screen.
Transfers travel over your local network and are not encrypted, and anyone on the same network can upload a file to the page while it is open. Use Wi-Fi transfer only on networks you trust.
7. Analytics
The app uses Firebase Analytics (Google) to count how conversions go, so we can fix the ones that fail. Each event contains the tool used, the source and target formats, the file size, how long it took and, if it failed, a short reason code.
Events never contain the file name, the file's contents, its location on your iPhone, or an identifier we can link to you.
8. Permissions the app asks for
- Camera — to scan documents. Asked the first time you scan.
- Photo library (add only) — to save images you export. The app picks photos through the system picker and does not read your library.
- Local network — for Wi-Fi transfer only.
You can change these at any time in the iPhone Settings app.
9. This website
This website sets no cookies and runs no analytics or tracking. Your light or dark theme choice is saved in your browser's local storage and never leaves your device.
If you send us a message through the contact form, your name, email address and message are delivered to us by email through a form-delivery service (Formspree or EmailJS). We use them only to reply to you. Our server records that a message was sent and its length, not its contents.
10. Who can receive data
- PDF Tool conversion servers — documents you convert, deleted after 24 hours.
- ChatPDF — documents you open in AI PDF and your questions.
- Google — language-model downloads (no content) and Firebase Analytics events (no file names or content).
- Formspree or EmailJS — messages you send through this website's contact form.
We do not sell data, and we share it only with the services listed here, for the purposes described.
11. Deleting your data
Delete a file or a chat in the app to remove it from your iPhone; uninstalling the app removes everything it stored. Copies on PDF Tool's conversion servers are deleted automatically within 24 hours. For documents sent to ChatPDF, see ChatPDF's privacy policy. To have a message you sent us deleted, email us.
12. Children
PDF Tool is a general-purpose document tool and is not directed at children under 13. We do not knowingly collect personal information from children.
13. Changes and contact
If the app starts sending data anywhere new, we will update this policy before that version is released and change the date at the top.
